Redeeming Member Points

  • Create an RT ticket for the request
    • Members can make a request directly by emailing to: info -at- pumpingstationone -dot- org
    • Alternatively, members can email an officer who can forward the request to info@ or otherwise manually create a ticket with the request details
  • Process the RT ticket request
    • Lookup the member on the member site and validate that there are enough member points to satisfy the request.
    • Provide email feedback to the member by “Reply” via the RT ticket so that there is a documentation trail. Note that if the RT ticket was not submitted by the member, then make sure to copy the response to the member
    • Log into PayPal, select Activity and enter the member’s email address as shown in the PayPal email portion of the member’s profile.
    • If no transactions are returned by the search, then one of four scenarios is likely:
      • the member is no longer active, perhaps due to a suspended subscription and the member status needs to be updated.
      • the member pays dues in cash. Respond to the member’s request asking for the current mailing address (member profiles never get refreshed after ID checks). A PS1 checking account signer will need to issue an ACH bill payment.
      • the member is a volunteer and is exempt from dues
      • the member’s last name is not on their PayPal profile (for example some people use a business account to pay dues) and the PayPal email address on the member site is incorrect. Respond to the member’s request asking for the missing information but do not issue any transfer of funds
    • Consume the point using the member profile button
    • Move the RT ticket to the Member Payments/Open queue (It is OK to stop here and let someone else pick up the process)
    • Partially refund the current PayPal subscription payment for the value of a member point (currently $30). Include the RT ticket number in the "Note to buyer" field. If there is no current transaction to refund, or if a refund has already been applied, the situation needs to be reviewed. Leave the RT ticket in queue to be discussed at a board meeting.
    • For any full or partially satisfied redemption, copy the PayPal (or ACH payment) confirmation details including the transaction ID (click View Refund) and add it as a comment to the RT ticket.
    • Move the RT ticket to the Treasury/Quickbooks queue
