Language Lock Date and Start of Voting
Five days prior to the Day of the Vote, the vote language is locked, all edits are frozen, and the language of the vote is converted to a pdf file. Ballots that include the pdf are sent to the Membership, and electronic voting begins. Note that the minimum discussion period of seven days leaves only two days for changes before the lock takes place.

Background
At an earlier board meeting the treasurer suggested increasing revenue and memberships with more marketing. This proposal is to make a batch of branded custom pencils. The pencils would be for the following staff; Tour guides, as a souvenir for open house guests at the end of the tour, Area hosts as a token of appreciation to members who show merit, and authorizers to give to those members who complete their authorizations as required. The intended effect would be; to raise awareness of the makerspace, increase engagement in new and current members, encourage undecided visitors to join at a later date. This could also be a trial product to test the vendor for a more elaborate kind of branded pencils. They have alternate quote generating form for items such as carpenter pencils with both sides printed with a customer supplied graphic. The board can also gain feedback on what effect merchandising may have.

Language of the Vote
The members of PS:1 authorize The Board to spend at least $500 to $750 on the purchase of a custom printed jumbo pencils from Musgrave Pencil Company. The pencils will be imprinted in red with the text Pumping Station: One • Chicago Illinois on bright yellow, jumbo size round with gold ferrules and pink erasers.
