Banning Process

This page describes the technical process that occurs when a member is banned.

How to process a ban

These steps should only be performed immediately after a person has been notified of their ban.

Wild Apricot

1. Login to Wild Apricot
2. Navigate to membership profile of individual to be banned
3. Select the Membership tab and click Edit
   1. Switch Disabled to "Yes" and save
      1. This will override any other status settings and lock an individual out
4. On the Membership tab itself
   1. Next to Automatic recurring payments activated select "STOP" to stop payments
      1. This only applies if a member is paying via WA and has not been migrated to Stripe yet
      2. If you must do this, you do not need to follow the Stripe instructions
      3. This should be removed by the end of 2024
   2. Next to Membership select "Suspend" to suspend membership
5. Select the Email settings and log tab and click Edit
   1. Switch to "Disable ALL emails" and save

Stripe Subscription

1. Login to Stripe
2. Locate the individual's current subscription via email
3. On the subscription page:
   1. Select "Actions"
   2. Click "Cancel Subscription"
   3. Ensure "Immediately" is selected, do not change any other options
   4. Press "Cancel Subscription"
4. Individual will be notified immediately that their subscription has been cancelled

Discord Access

1. Identify the individual in the Discord server
2. Right click their username
3. Select "Ban [username]"
   1. Enter reason as "banned member" or something appropriate but simple for audit purposes
   2. Select "Don't Delete Any" under Delete Message History
      1. Do NOT delete member messages unless directed by the DRC or by emergency order of the board. Messages should be retained for archival and investigative purposes.
   3. Click "Ban"

How to reverse a ban

Wild Apricot

1. Login to Wild Apricot
2. Navigate to membership profile of individual to be unbanned
3. Select the Membership tab and click Edit
   1. Switch Disabled to "No" and save
4. Select the Email settings and log tab and click Edit
   1. Switch to "Send emails per settings below"
   2. Ensure correct settings are enabled to receive emails
   3. Save
5. Send individual a Stripe payment link if they intend to re-register as a member

Stripe Subscription

• No action is needed at this time

Discord Access

1. Open Server Settings
2. Navigate to "Bans"
3. Click the individual you would like to unban
4. Select "Revoke Ban"
5. If the individual is rejoining, send a new Discord invite link
